Automate Invoices, Quotes and Affiliates in FluentCRM
FluentCart already tells FluentCRM about orders and subscriptions. GT Extensions adds the rest: invoices, quotes, affiliates and back-in-stock alerts become automation triggers, their details become smart codes in your emails, and each contact shows their invoices and quotes.
It works with FluentCRM free, needs FluentCart 1.6.4 or newer, and stays off until you turn it on.
Turn It On
- Install and activate FluentCRM.
- Go to FluentCart → GT Extensions, enable FluentCRM and save.
- In FluentCRM → Automations, create an automation and pick a trigger from the GT Extensions group.
A trigger only appears when the module behind it is on: Custom Invoices, Request a Quote, Coupon Affiliates or Back-in-Stock Alerts.
Triggers
| Trigger | Starts when |
|---|---|
| Invoice issued | An invoice is issued to a customer. |
| Invoice paid | An invoice is paid. |
| Recurring invoice created | A recurring schedule creates the invoice for a period, including one kept as a draft. |
| Quote requested | A buyer asks for a quote. |
| Quote accepted | A buyer accepts a proposal. |
| Affiliate joined | Someone joins your affiliate program. |
| Affiliate status changed | An affiliate becomes active, suspended or closed. |
| Affiliate commission recorded | A referral earns a commission. |
| Affiliate payout paid | An affiliate is paid out. |
| Back-in-stock alert sent | A product is back and its alert email has gone out. |
Each trigger adds or updates the contact by email, with their name where GT Extensions knows it. Two settings come with every trigger:
- Status for new contacts: transactional by default. Choose Pending to send FluentCRM’s double opt-in email first.
- Restart the automation: lets a contact who is already in the automation start again for a new invoice, quote or event. Affiliate triggers count each affiliate as one event, so they don’t restart for the same affiliate.
Smart Codes
Use these in any FluentCRM email. A code with nothing to show falls back to the default text you give it.
| Smart code | Shows |
|---|---|
{{gtfc.open_invoices}} | How many invoices are waiting for payment |
{{gtfc.invoice_number}} | The invoice number |
{{gtfc.invoice_total}} | The total with its currency, such as 199.00 USD |
{{gtfc.invoice_status}} | Awaiting payment, Overdue, Paid, Refunded or Cancelled |
{{gtfc.invoice_url}} | The customer’s invoice page |
{{gtfc.invoice_pay_url}} | The payment link, while the invoice is unpaid |
{{gtfc.open_quotes}} | How many quotes are open |
{{gtfc.quote_status}} | New request, Proposal sent, Expired, Accepted or Withdrawn |
{{gtfc.quote_url}} | The proposal page, once a proposal is sent |
{{gtfc.affiliate_status}} | The affiliate’s status |
{{gtfc.affiliate_coupon}} | Their affiliate coupon code |
{{gtfc.affiliate_balance}} | Their balance, per currency |
Invoice and quote codes use the invoice or quote that started the automation. Outside such an automation they use the newest open one, then the newest.
The Contact Panel
Each FluentCRM contact gets a GT Extensions panel with their 5 newest invoices and quotes, each linked to its screen, and their affiliate status and coupon if they are an affiliate. Store managers see it; other FluentCRM users don’t.
Good to Know
- FluentCart’s own FluentCRM integration keeps handling orders and subscriptions.
- On a staging or local copy of the store, these triggers wait instead of starting, so a copy never emails real customers. They start once the site is confirmed as the live store.
- Developers can listen to the same events: each trigger is a
gtfc_crm_*action with the contact details and the record.
