Reports
How much did you actually collect last month? Which staff member has the most no-shows, and is your Instagram campaign bringing in bookings? Reports answers these from your own booking data, with no outside analytics service and nothing sent off your site.
Turn On Reports
Reports come from the Insights module, which starts switched off.
- Go to Bookings → Settings → Modules.
- Tick Insights under Running the business and click Save modules.
- Open Bookings → Reports. The menu entry appears once the module is on.
Only booking managers can see reports. Staff don’t get this screen.
Pick a Date Range
The report opens on the last 30 days. Click a quick range (Last 7 days, Last 30 days, Last 90 days, This month, Last month, Year to date or Next 30 days), or set your own:
- Set From and To. Both dates are included, up to 366 days.
- Narrow it with Service and Staff, and Location when the Locations module is on.
- Click Show report.
Appointments count by their start time, not the day they were booked. A report for next month shows what’s on the calendar for next month, and revenue follows the same rule.
What Each Report Shows
| Report | What it tells you |
|---|---|
| Summary | Bookings, completed, cancellation rate, no-show rate, expired unpaid holds, new and returning customers, lead time, staff utilization and amount collected. |
| Bookings by status | Every status with its booking and seat count. |
| Revenue | Collected, Refunded, Net and Outstanding, one row per currency. |
| Cancellations and Cancellation reasons | Who cancelled (customer or staff) and the 20 most common reasons. |
| No-shows by staff | Ended appointments, no-shows and the rate for each staff member. |
| Staff utilization | Booked hours divided by available hours. A group session counts once. |
| Lead time | How far ahead people book, from less than a day to more than 30 days. |
| Popular days and hours | Kept appointments by weekday and hour, as a shaded table. |
| New and returning customers | New means their first kept appointment ever falls in the range. |
| Services | Bookings, cancellations, no-shows and revenue per service. |
| Unused session pack credits | Credits left, credits expiring in 30 days, credits that expired unused and what the remaining credits are worth. |
| Booking sources | Bookings and revenue by source, medium and campaign. |
| Ratings by staff | Average rating and count, when the Reviews module is on. |
Every table has a Download CSV link. Figures are cached for a few minutes. Click Refresh now to recalculate straight away.
How Revenue and Sources Are Counted
- Collected counts payments received for appointments in the range: the amount paid online at booking plus any balance paid later, and the full price of offline payments you marked as paid.
- Outstanding is unpaid pay-offline bookings plus balances still due on confirmed, completed or no-show appointments.
- Sites that take several currencies get one row per currency. Amounts are never converted.
- Sources come from the
utm_source,utm_mediumandutm_campaigntags on the booking page address, and the name of the site that linked to it. A visit with no tags and no outside referrer shows as “(direct or unknown)”.
Tag your campaign links, such as ?utm_source=instagram&utm_campaign=spring, and they’ll show up under Booking sources.
Get a Weekly Summary by Email
- On Bookings → Reports, find Weekly summary email.
- Tick Send the weekly summary and choose the Recipients. Only booking managers can receive it.
- Click Save weekly summary.
Every Monday at 08:00 site time, each recipient gets last Monday to Sunday’s numbers, revenue per currency and the count of confirmed appointments in the coming week, with a link back to the reports.
Limits
- Revenue is reported by appointment date. A deposit paid in March for an April appointment shows in April.
- Utilization uses each staff member’s current hours, even for past dates, because older schedules aren’t kept per date.
- Source tracking only sees the page with the booking form. A visitor who lands on another page first is credited to your own page, unless that first page also had a booking form.
- Appointments you add yourself in the workspace have no source.
- The weekly summary relies on WordPress cron. On a quiet site without a server cron task, it can arrive late. Setup Checks and Operations shows whether the background worker is on time.
