Connect Outlook and Microsoft Teams

Updated October 22, 2026

If your team lives in Outlook, a booking page that only knows about Google is half blind. The Microsoft 365 module reads each staff member’s Outlook calendars before it offers a time, adds new bookings to one Outlook calendar, and can create a Microsoft Teams link for every booking.

It works with work, school and personal Microsoft accounts through an app registration you own. Teams links need a work or school account licensed for Teams.

Register the Microsoft App

  1. Turn on Microsoft 365 in Bookings → Settings → Modules.
  2. Open Bookings → Settings → Microsoft 365 and copy the Redirect address.
  3. In Microsoft Entra ID, register a web application and add that redirect address to it.
  4. Grant the delegated permissions offline_access, User.Read and Calendars.ReadWrite. No application permissions or admin-only permissions are needed.
  5. Create a client secret. Back in WordPress, fill Application (client) ID, Client secret value and Tenant, then click Save Microsoft settings.

The secret is stored encrypted, and a blank secret field keeps the saved one. The Tenant decides who can connect:

Tenant valueWho can connect
common (default)Work, school and personal Microsoft accounts
organizationsWork or school accounts only
consumersPersonal Microsoft accounts only
Your tenant ID or domainOnly accounts in your organization

Connect a Staff Calendar

  1. Each staff member opens Bookings → Staff → My calendar and finds Microsoft 365 and Outlook.
  2. They click Connect Microsoft 365 and sign in with their own account.
  3. Under Check availability on these Outlook calendars, they tick up to ten calendars.
  4. In Add new bookings to, they pick a writable calendar or Do not add bookings to Outlook, then click Save Outlook calendars.

A first connection checks the default calendar and writes new bookings to it. If the person already has Google Calendar connected, Outlook starts with no destination, so the same booking doesn’t land in two calendars. Both can be changed.

How Sync Works

  • Busy time: ticked calendars and the destination are read live for every availability check, reservation and reschedule. Busy, tentative, out of office and unknown events block. Free, working elsewhere and cancelled events don’t. All-day events block the whole day in the staff member’s timezone.
  • Booking events: new bookings are added to the destination, updated when the appointment changes, and deleted when it’s cancelled. Existing events stay on their original calendar if the destination changes.
  • Customer details: off by default. Tick Add customer names and seats to Outlook events on the Microsoft 365 screen if staff calendars are private enough.
  • Change tracking: on HTTPS sites, Outlook notifies your site of changes and live checks also run every five minutes. Sites without HTTPS rely on the five-minute checks.

With the module on, the service’s Video meeting setting gains Microsoft Teams. Each booking gets a Teams-enabled Outlook event in the host’s destination calendar (or default calendar when there’s no destination). The join link goes into the confirmation email, the customer’s booking page and the appointment panel.

  • A group session shares one Teams link across all its bookings.
  • Rescheduling a one-to-one booking updates the meeting time. The last cancellation deletes the meeting.
  • A Teams service only takes bookings with hosts whose Microsoft connection is ready.

Disconnecting and Reconnecting

Like Google, a Microsoft connection is required once it exists. If Microsoft refuses the saved access or a calendar can’t be read, the connection shows Reconnect required and that person’s online availability pauses until they fix it.

  • Reconnect Microsoft 365 signs in again. The same account keeps its calendar choices; a different account starts fresh.
  • Remove Outlook and use local availability deletes the connection and the requirement.
  • Disconnect and pause online availability deletes the saved access and keeps availability paused.
  • Managers see every connection under Staff connections and can Force disconnect with a Reason.

Disconnecting deletes the credentials on your site, but Microsoft offers no way to revoke this kind of access from outside. Staff should also remove the app from their Microsoft account’s app permissions.

Limits

  • One Microsoft account per staff member. Multiple accounts are available for Google Calendar only.
  • Up to ten checked calendars per staff member.
  • Teams meetings are created through each host’s own calendar. There’s no tenant-wide Teams account.
  • Turning the module off stops Outlook checks, writes and Teams links. Services set to Teams show “teams (not available)” in the editor and can’t take Teams bookings until the module is back on or the service changes.
