Taxes, Invoices and Receipts
If you charge VAT or GST, your booking prices need the right tax line, and your customers expect a proper invoice with a number that never skips. The Taxes and invoices module adds tax rates, collects a customer’s country and tax ID when you need them, and issues numbered invoices, receipts and credit notes for every booking.
One thing first: Core Bookings gives no tax advice. It calculates tax from the rates you enter. Check which rates, registrations and invoice details apply to your business.
Turn It On
- Go to Bookings → Settings → Modules, switch on Taxes and invoices and click Save modules.
- Open Bookings → Settings → Taxes. It has three tabs: Tax rates, Business and invoices and Issued documents.
- Fill in your business details first, then add your rates.
Add Tax Rates
On Tax rates, fill in the form under Add a tax rate and click Save tax rate.
| Setting | What it does |
|---|---|
| Name | The label on the price and invoice, such as VAT or GST. |
| Rate (%) | 0 to 100, with up to two decimals. |
| Country code | Two letters, such as GB, DE or IN. Blank applies to any country. |
| Region (optional) | Applies only when it matches the region in your business details, such as a state or provincial tax. |
| Tax class | Standard for most services, or a name such as reduced or zero that you then pick per service. |
| Service prices already include this tax | On: the total stays the same and shows an “Includes VAT 20%” line. Off: the tax is added to the price. |
| Active | Untick to stop using the rate. Deleting a rate never changes documents already issued. |
Each service has a Tax class in its editor: Standard by default, any class your rates use, or No tax.
How the Rate Is Chosen
- A booking uses the active rates of its service’s class for the customer’s country when the form asks for it, otherwise for your business country.
- When no rate matches the country, rates set for any country apply. A customer who picks Another country gets only those.
- Every matching rate applies, so GST plus a provincial tax add up.
- Tax is worked out after discount codes, member pricing and peak prices, and before gift cards. For deposits, the tax is split in proportion between what’s due now and later.
Set Up Business Details and the Form
On Business and invoices, fill in Business name, Your tax ID (VAT, GST or similar), Contact email on documents, Business country code, Business region (optional) and Address. These print on every document, and documents already issued keep the details they had. Then choose what the booking form asks:
- Ask customers for their country and use its rates adds a required Country for tax list with every country you have a rate for, your own country and Another country.
- Let customers add a business name and tax ID for their invoice adds two optional fields that print on the invoice.
- Number prefixes for Invoices, Receipts and Credit notes default to INV-, RCT- and CRN-. Each kind has its own unbroken sequence, such as INV-000001, and changing a prefix doesn’t restart the numbers.
- Footer text holds payment terms or a registration number.
Click Save settings.
Invoices, Receipts and Credit Notes
- Invoice: one per request, issued once it’s confirmed or its first payment arrives. It covers every session, with discounts, each tax, the total, any gift card payment and what was paid and due at issue.
- Receipt: one for the payment at booking (online or recorded offline) and one for each remaining-balance payment. A tip shows separately.
- Credit note: one for each refund, with its share of tax.
Documents are frozen when issued and never edited or deleted. Later changes appear as new receipts or credit notes. Each opens as a print-friendly page with a Print or save as PDF button. Customers reach it from Invoice and receipts on their booking page or the {invoice_url} email placeholder, and you reach it from the appointment panel or Issued documents, which you can search by number or email.
Limits
- Services sold through FluentCart use FluentCart’s own tax settings and get no tax lines or documents from this module. Their booking page links to the customer’s FluentCart account instead.
- There’s no address check, VAT number validation or reverse-charge handling. The country question is the only customer-location rule.
- Gift card purchases don’t get documents.
- No PDF file is generated on the server. Use the browser’s print dialog to save a PDF.
- Privacy erasure keeps issued documents, because businesses usually must keep them for tax records. Site exports carry your rates but never issued documents.
